Adding Products to Your Catalog

Build your product catalog by adding items individually or importing in bulk. Each product entry captures all the details you need for tracking, pricing, and sales.

Adding Products Manually

Navigate to Inventory > Products > Add Product. Enter the product name, brand, SKU, barcode (if applicable), category, cost price, and retail price. Upload a product photo for easy identification at checkout and in reports.

Bulk Import

Import your entire product catalog at once using a CSV file. Go to Inventory > Products > Import and download the template CSV. Fill in your product data and upload the file. Tilavon validates each row and highlights any errors before importing.

Product Details

Each product record includes: name, brand, SKU, barcode, category, cost price, retail price, current stock level, reorder threshold, preferred supplier, and product notes. All fields are searchable and filterable in your product list.

Organize your products into categories for easier browsing, reporting, and inventory management.

Creating Categories

Go to Inventory > Categories > Add Category. Create categories that match how you organize products in your salon — for example: Nail Polish, Gel Products, Acrylics, Skincare, Hair Care, Tools & Equipment, and Retail Gifts.

Category Hierarchy

Create subcategories for granular organization. Under "Nail Polish" you might have subcategories for Regular Polish, Gel Polish, Dip Powder, and Press-Ons. Products inherit their parent category for reporting while remaining specifically categorized.

Filtering & Search

Use categories to quickly filter your product list, run category-specific inventory reports, and organize the retail section of your checkout screen. The search bar supports filtering by category, brand, name, and SKU.

Stock Level Tracking

Monitor your inventory in real time as products are used for services, sold at retail, or received from suppliers.

Inventory Dashboard

View your complete inventory status at Inventory > Dashboard. The overview shows total product count, total inventory value (at cost), items below reorder threshold, and items out of stock. Color-coded badges make it easy to spot issues at a glance.

Automatic Deduction

When products are linked to services, Tilavon deducts stock automatically after each appointment. For example, if a gel manicure uses one unit of base coat, one unit of color, and one unit of top coat, those quantities are deducted when the appointment is completed.

Manual Adjustments

Adjust stock levels manually for breakage, samples, personal use, or inventory corrections. Go to Inventory > Products, select the product, and click "Adjust Stock." Enter the adjustment quantity, reason, and notes. All adjustments are logged in the product's history.

Low Stock Alerts

Never run out of essential products. Set reorder thresholds and receive automatic notifications when stock runs low.

Setting Reorder Thresholds

For each product, set a minimum stock level in the product editor. When the current quantity drops to or below this threshold, Tilavon triggers a low stock alert. Set thresholds based on your usage rate — fast-moving products need higher thresholds.

Alert Notifications

Low stock alerts appear in your dashboard notification center and can be sent via email. Configure notification preferences in Settings > Notifications > Inventory Alerts. Choose daily summary emails or real-time alerts for each stock warning.

Batch Alerts

View all low-stock products at once in Inventory > Alerts. The list shows the product name, current stock, reorder threshold, and suggested order quantity based on your average usage rate over the past 30 days.

Reorder Management

Streamline your ordering process with suggested reorder quantities, supplier information, and order tracking.

Suggested Orders

Tilavon calculates suggested reorder quantities based on your average usage over the past 30, 60, or 90 days. View suggestions at Inventory > Reorder. Adjust quantities as needed and generate a purchase order.

Purchase Orders

Create purchase orders directly in Tilavon. Select products, set quantities, choose a supplier, and add notes. Export the purchase order as a PDF to send to your supplier, or email it directly from the platform.

Receiving Shipments

When a shipment arrives, go to Inventory > Receive Shipment. Select the purchase order, scan product barcodes or manually enter received quantities, and note any discrepancies. Stock levels update automatically upon confirmation.

Product Pricing & Retail Sales

Sell retail products alongside services directly from the checkout screen. Track retail revenue separately for clearer financial reporting.

Setting Prices

Set both cost price and retail price for each product. Tilavon calculates your markup percentage and profit margin automatically. Adjust prices individually or apply batch price changes across an entire category.

Selling at Checkout

During checkout, add retail products to a client's ticket by searching the product name, browsing categories, or scanning a barcode. Products appear as separate line items on the receipt with their retail price and applicable tax.

Product Discounts

Apply product discounts at checkout as a percentage or fixed amount. Create standing discount rules for bundled purchases — for example, 10% off retail products when purchased with a service. Configure discount rules in Inventory > Pricing Rules.

Speed up checkout and inventory tasks with barcode scanning using any compatible USB or Bluetooth scanner.

Scanner Setup

Plug in a USB barcode scanner or pair a Bluetooth scanner with your device. No additional software or drivers are needed — Tilavon receives scanned barcodes automatically through keyboard emulation.

Scanning at Checkout

At the checkout screen, position your cursor in the product search field and scan a product barcode. Tilavon instantly looks up the product, adds it to the current ticket, and applies the correct retail price. Scan multiple products in rapid succession.

Scanning for Inventory

Use barcode scanning during inventory counts and shipment receiving. Scan each product to quickly update stock counts, verify received quantities, or perform spot checks. Barcode scanning reduces manual entry errors significantly.

Generate detailed reports to understand your inventory investment, product performance, and usage trends.

Inventory Valuation

View your total inventory value at cost and retail price in Reports > Inventory > Valuation. Break down value by category, brand, or supplier. Track how inventory value changes over time to identify trends.

Product Movement

The Product Movement report shows units received, used for services, sold at retail, and adjusted over any time period. Identify your fastest-moving products and slow-moving items that may be tying up capital.

Retail Profit Report

Track retail sales performance in Reports > Inventory > Retail Profit. View revenue, cost of goods sold, gross margin, and markup for each product and category. Identify your most and least profitable retail items.

Keep track of your product suppliers with contact information, pricing, and order history all in one place.

Adding Suppliers

Navigate to Inventory > Suppliers > Add Supplier. Enter the supplier name, contact person, phone number, email, website, and shipping address. Assign products to their respective suppliers for streamlined reordering.

Supplier Product Catalog

Link products to their suppliers with supplier-specific SKUs and cost prices. When a supplier updates their pricing, update the cost in the product record and Tilavon recalculates your margins automatically.

Order History

View all purchase orders for each supplier in their supplier profile. Track order frequency, total spending, average delivery time, and any recurring issues. Use this data to evaluate supplier reliability and negotiate better terms.
