Creating Waiver Templates

Build custom waiver templates that capture exactly the information your business needs.

Access the Waiver Builder

Navigate to Settings > Waivers and click + New Waiver Template. The drag-and-drop builder lets you create professional waiver forms without any coding knowledge.

Add Content Blocks

Build your waiver using content blocks: text paragraphs for legal language, checkbox fields for acknowledgments, and a signature block at the bottom. You can include your salon's liability disclaimer, cancellation policy, or health and safety guidelines.

Multiple Templates

Create different templates for different purposes. For example, a general liability waiver for all new clients, a chemical treatment consent form for coloring services, and an allergy disclosure form for lash or brow services.

Have your waiver language reviewed by a local attorney familiar with your state's salon regulations. Tilavon provides starter templates, but the specific legal language should be customized to your jurisdiction and services.

Digital Signature Capture

How Signing Works

Clients sign using their finger on a touchscreen (tablet or kiosk) or with a mouse/trackpad on a computer. The signature is captured as a vector image and embedded in the waiver document along with a timestamp and IP address.

Legal Validity

Digital signatures captured by Tilavon comply with the ESIGN Act and UETA, which recognize electronic signatures as legally equivalent to handwritten ones in all 50 US states. Each signed waiver includes the signer's IP address, timestamp, and device information.

Witness & Guardian Signatures

For clients under 18, the waiver automatically requires a parent or guardian signature. You can also configure waivers to require a staff witness signature for specific service types.

Assigning Waivers to Services

Link Waivers to Services

Under Settings > Services, open any service and select which waiver template(s) are required. For example, link your chemical treatment consent form to all coloring and chemical peel services.

When Waivers Are Triggered

When a client books or checks in for a service with a required waiver, the system checks whether they've already signed it. If not, they're prompted to complete the waiver before their appointment can begin.

Signature Frequency

Choose how often clients need to re-sign: once ever, once per year, or every visit. Annual re-signing is recommended for health-related waivers to capture any changes in the client's medical status.

Client-Facing Waiver Flow

Clients can complete waivers before they arrive, at check-in, or on their phone — whatever is most convenient.

Kiosk Check-In

When a client checks in at your kiosk and has an unsigned required waiver, the waiver is presented on screen. They read, fill in any custom fields, and sign right on the tablet. The process takes about 60 seconds.

Email or SMS Before Visit

Send waivers ahead of time so clients can complete them before arriving. When a client books an appointment with a required waiver, the confirmation email includes a link to sign digitally from their phone or computer.

Client App

Clients using your branded app can view and sign pending waivers from their phone. They receive a push notification when a new waiver needs their signature. Signed waivers are accessible in their app under 'My Documents.'

Where Waivers Are Stored

Signed waivers are attached to the client's profile under the 'Waivers' tab. Each waiver shows the template name, date signed, and a link to view the full document with the captured signature.

Finding a Waiver

Search for waivers by client name, waiver type, or date signed. You can also access a client's waivers directly from their profile during an appointment if you need to reference their allergy information or consent status.

Downloading & Printing

Download any signed waiver as a PDF for your records or to share with insurance providers. Bulk export is available for compliance audits — select a date range and waiver type to generate a zip file of all matching documents.

Retention Period

Configure how long signed waivers are retained. The default is 7 years, which meets or exceeds most state requirements for salon records. Waivers are never automatically deleted — they're archived after the retention period and can still be accessed if needed.

Audit Trail

Every waiver interaction is logged: when it was sent, when it was opened, when it was signed, and by whom. This audit trail provides evidence of proper consent collection if a dispute ever arises.

Data Security

Health information collected through waivers is encrypted at rest and in transit. Access to waiver data is limited to authorized staff based on their role permissions. All waiver access is logged for accountability.

Signed waivers are stored securely in Tilavon's cloud and attached to the client's profile. They're encrypted at rest and in transit. You can view, download, or print any waiver at any time. Waivers are retained for 7 years by default, configurable in your settings.

Can I require waivers for specific services?

Yes. Link waiver templates to specific services under Settings > Services. When a client books or checks in for a linked service, the system automatically checks for a valid signature and prompts the client to sign if needed. You can require re-signing annually or for every visit.
