Calendar Views

The calendar supports three views so you can zoom in on the details of a single day or zoom out to plan weeks and months ahead.

Day View

The default view shows a single day with one column per technician. Time slots run vertically in 15-minute increments, and appointments appear as colored blocks sized to their duration. This is the view most salons use during business hours for managing walk-ins and check-ins.

Week View

The week view displays seven days side by side with summarized appointment blocks. Use this view for spotting gaps in your schedule, planning staffing levels, and identifying your busiest days. Click any day to drill into the full day view.

Month View

The month view shows appointment counts per day in a traditional calendar grid. It is useful for seeing seasonal patterns, planning promotions around slow periods, and getting a high-level view of your bookings.

Creating Appointments

Booking a new appointment takes just a few taps. Here is the step-by-step flow:

Click an Open Time Slot

In day view, click the time slot under the technician's column where you want to place the appointment. The new appointment form opens with the time and technician pre-filled.

Select or Add a Client

Start typing the client's name or phone number to search your client list. If they are new, click Add New Client to create their profile on the spot. Their details are saved for future visits.

Choose Services

Select one or more services from your menu. The appointment duration adjusts automatically based on the total service time. Prices are calculated and shown in the summary.

Assign a Technician

The technician is pre-filled from the column you clicked, but you can change it here. Only technicians who are scheduled and qualified for the selected services appear in the dropdown.

Confirm & Save

Review the summary showing client, services, technician, time, and estimated price. Click Save to add the appointment to the calendar. The client receives a confirmation via their preferred notification method.

Editing & Rescheduling

Plans change, and Tilavon makes rescheduling fast and intuitive so your calendar stays accurate.

Drag & Drop

In day or week view, click and hold any appointment block, then drag it to a new time slot or technician column. Release to drop it in the new position. Tilavon checks for conflicts and warns you before creating an overlap.

Edit Appointment Details

Click any appointment to open its detail panel. From here you can change the service, technician, time, or add notes. Click Save and the client receives an updated notification with the new details.

Automatic Notifications

When you reschedule an appointment, the client automatically receives an SMS or email with the updated date and time. You do not need to contact them manually.

Online Booking Setup

Online booking lets clients schedule appointments anytime without calling. Bookings appear on your calendar instantly.

Enable Online Booking

Navigate to Settings > Online Booking and toggle it on. Select which services and technicians are available for online booking. You can exclude services that require consultation or technicians who prefer phone bookings.

Booking Controls

Set minimum advance booking time (e.g., at least 2 hours from now), maximum advance booking window (e.g., up to 60 days ahead), and buffer time between appointments. These controls prevent last-minute bookings and ensure technicians have adequate breaks.

Share Your Booking Link

Copy your unique booking page URL from the Online Booking settings. Add it to your website, Google Business Profile, Instagram bio, and Facebook page. Clients see real-time availability and can book with no account required.

Appointment Reminders

Tilavon sends automated reminders to clients before their appointments, significantly reducing missed visits.

SMS Reminders

Text message reminders are sent to clients with a mobile number on file. The message includes the appointment date, time, service, and salon address. Clients can reply to confirm or request rescheduling.

Email Reminders

Email reminders include the same appointment details plus a link to reschedule or cancel online. Emails are branded with your salon logo and colors for a professional appearance.

Customize Timing

By default, reminders go out 24 hours and 2 hours before the appointment. You can add additional reminder windows or change the timing under Settings > Notifications. For example, add a 7-day reminder for recurring clients.

Recurring Appointments

For clients who visit on a regular schedule, recurring appointments save time by automatically generating future bookings.

Set Frequency

When creating or editing an appointment, toggle Recurring and select the frequency: every week, every two weeks, or every month. Choose an end date or set it to continue indefinitely. Tilavon generates up to 3 months of future appointments.

Manage the Series

Each occurrence can be edited individually (e.g., skip one week for a holiday) or you can update the entire series at once (e.g., change the service or time for all future occurrences). Delete the series to cancel all remaining appointments.

Color Coding

Color coding makes it easy to scan the calendar and understand the day's workload at a glance.

By Technician

Each technician is assigned a unique color that appears on all their appointment blocks. You can customize colors under Settings > Staff by clicking the color swatch next to each technician's name. Choose colors that are easy to distinguish from each other.

By Status

Appointment status is shown with a small indicator within the color block: a solid fill for confirmed, a checkmark overlay for checked in, a clock icon for in progress, and a strikethrough for cancelled. This lets you see both technician and status at the same time.

Blocking Time Off

Block time prevents appointments from being booked during specific windows, whether for an individual technician or the entire salon.

Individual Time Off

Click any time slot on a technician's column and select Block Time. Set the start and end time, add an optional reason (e.g., lunch break, training), and save. The blocked time appears as a gray bar and prevents online bookings during that window.

Salon-Wide Closures

For holidays or special events, go to Settings > Business Hours and add a closure date. This blocks the entire salon's calendar for that day and displays a notice on your online booking page. Existing appointments for that day are flagged for rescheduling.

Frequently Asked Questions

Can clients book online?

Yes. Once you enable Online Booking in Settings, clients can book through your personalized booking page. You control which services are available online, which technicians accept bookings, and the available time slots. Online appointments appear on your calendar automatically.

How do recurring appointments work?

Can I set different hours for each day?
