Building Your Online Reputation

Long-term strategies for building and maintaining a 4.5+ star reputation that attracts new clients.

1

Connecting Google Business Profile

Google reviews are the most visible and impactful reviews for local businesses. Connecting your Google Business Profile to Tilavon lets you monitor new reviews, respond directly, and track your rating over time — all without leaving your salon dashboard.

Open Integrations

From your Tilavon dashboard, go to Settings > Integrations > Google Business Profile and click Connect.

Authorize Access

Sign in with the Google account that manages your business profile. Grant Tilavon permission to read reviews and post responses on your behalf.

Select Your Business

If you manage multiple Google Business Profiles, select the location you want to connect. Each salon location can be connected to its own Google profile.

Initial Sync

Tilavon imports your existing reviews and calculates your current average rating. This initial sync typically takes 1-2 minutes. New reviews will be synced automatically going forward.

Verify Connection

Check the Reviews dashboard to confirm your Google reviews are appearing. You should see your current rating, total review count, and recent reviews.

Pro Tip: Keep Your Google Profile Updated

Make sure your Google Business Profile has accurate hours, services, photos, and contact information. An up-to-date profile ranks higher in local search and gives clients confidence to book with you.

2

Automated Review Requests

Most satisfied clients never leave a review unless they're asked. Tilavon automates the ask by sending a friendly review request after each appointment, with a direct link to your Google page.

Configuring Request Timing

Navigate to Marketing > Reviews > Auto-Request Settings. Set the delay between appointment completion and the review request. Options range from 1 hour to 7 days. A 2-4 hour delay works best — the experience is still fresh but the client has had time to leave the salon.

Customizing the Message

Edit the review request template to match your salon's voice. The default message thanks the client by name, mentions their service, and includes a one-tap link to leave a Google review. You can customize the text and add your salon's personality.

Delivery Channel

Choose whether review requests are sent via SMS, email, or both. SMS requests have higher completion rates (about 3x higher than email), but offering both channels maximizes your coverage.

Smart Request Rules

Configure rules to control who receives review requests. Set a minimum visit count (e.g., only after the 2nd visit), exclude clients who left a review in the last 90 days, limit requests to specific services, or exclude clients with a low satisfaction score.

Pro Tip: Keep It Simple

Review requests with fewer words and a single clear link get the best response rates. Don't ask clients to leave reviews on multiple platforms in the same message — choose one and rotate platforms monthly.

3

Review Response Templates

Responding to reviews shows potential clients that you care about feedback and are actively engaged. Tilavon provides response templates so you can reply quickly without starting from scratch each time.

Positive Review Responses

The template library includes multiple response templates for 4-5 star reviews. Each template thanks the reviewer, mentions a specific aspect of their experience, and encourages them to visit again. Rotate between templates so your responses don't look automated.

Negative Review Responses

Templates for 1-3 star reviews are designed to acknowledge the concern, apologize without making excuses, and offer to make things right. Each template includes a line inviting the client to contact you directly to resolve the issue offline.

Review Analytics Dashboard

The Review Analytics dashboard gives you a comprehensive view of your online reputation across all connected platforms. Track trends, identify areas for improvement, and measure the impact of your review strategy.

Rating Trends

View your average rating over time on Google. The trend chart shows whether your rating is improving, stable, or declining. Set a target rating and track your progress toward it.

Review Volume

Track the number of new reviews received per week and month. Higher review volume signals to search engines that your business is active and popular. The dashboard shows your review velocity compared to the previous period so you can spot changes quickly.

Sentiment Analysis

Tilavon analyzes review text to identify common themes and sentiment. See which aspects of your salon clients praise most (e.g., 'clean', 'friendly staff', 'great nails') and which areas generate complaints. Use these insights to reinforce strengths and address weaknesses.

5

Handling Negative Reviews

Every salon receives negative reviews occasionally. How you respond makes the difference between losing a client forever and turning them into an advocate. Tilavon helps you respond quickly and professionally with a proven framework.

Respond Quickly

Aim to respond to negative reviews within 24 hours. Tilavon sends you an instant alert when a 1-3 star review is posted. Quick responses show potential clients that you take feedback seriously and are committed to resolving issues.

Acknowledge and Apologize

Start your response by thanking the reviewer for their feedback and acknowledging their experience. Apologize sincerely without making excuses or blaming the client. Even if the complaint seems unfair, a professional response reflects well on your salon.

Take It Offline

Invite the reviewer to contact you directly (provide a phone number or email) to discuss their experience in more detail. Resolving issues privately prevents a public back-and-forth and gives you the opportunity to fully address their concerns.

Follow Up

After resolving the issue, follow up with the client to ensure they are satisfied. A genuine effort to make things right often leads clients to update their review or return for another visit.

Learn and Improve

Use negative feedback as a learning opportunity. If multiple reviews mention the same issue (e.g., long wait times, cleanliness), address the root cause. Track complaint themes in Review Analytics to monitor improvement over time.

Pro Tip: Never Argue Online

Never argue with a reviewer, question their experience, or post defensive responses. Even if a review is unfair, future clients will judge your salon by how you handle criticism. A graceful, empathetic response often matters more than the negative review itself.

6

Building Your Online Reputation

A strong online reputation is one of the most valuable assets for any salon. It drives new client discovery, builds trust before the first visit, and sets your salon apart from competitors. Here's how to build a reputation that works for you around the clock.

Consistency Is Key

Deliver consistently excellent service so that positive reviews are the natural result. Train your team on service standards, maintain a clean and welcoming environment, and use Tilavon's automated review requests to capture positive sentiment while it's fresh.

Respond to Every Review

Respond to all reviews — positive and negative. Thank positive reviewers and personalize your response. Address negative reviews with empathy and a resolution. Google's algorithm favors businesses that actively engage with their reviews.

Showcase Reviews on Your Website

Use Tilavon's review widget to display your best reviews on your website and booking page. Social proof at the point of booking decision significantly increases conversion rates. The widget automatically updates as new reviews come in.
